A guest is claiming damage to their vehicle. Let's collect the necessary information to fill out a Claim Form in the parking manager app.
You can start a claim on Active or Ended valet sessions.
From the location's active vehicle list, locate the guest vehicle and open the session details
Tap the menu in the top right and select Search Sessions. Use the search bar to find the appropriate session by guest name, phone number or license plate.
Now that you've located the guest session, tap the 3 dots and select Start Claim and you're presented with basic instructions on the steps of inputting the necessary data.
Date of Claim
Select the date that the incident occurred (note, this field will default to the current day
Time of Claim / Incident
Select the time that the incident occurred
Valet Ticket
The claim ticket number pre-populates but you can overwrite it if necessary
Site
Name of the location pre-populates but you can overwrite if necessary
Market
City that the location is in
Site Manager
Name of the Guest Services Manager that oversees the location. Include Manager's first and last name
First Name
The first name of the guest making the claim
Last Name
The last name of the guest making the claim
Phone Number
Phone number of the guest making the claim
Address
Home address of the guest making the claim
City
City of the guest address
State
State that the guest address
Zip Code
Postal zip code of the guest address
The email address of the guest making the claim
Vehicle Collision
Is the guest that is claiming the vehicle was physically damaged due to impacting an object?
Vehicle Driveable
Is the vehicle safe for the guest to operate?
Vehicle Owned
If the guest making the claim owns the vehicle, select Yes. If someone else owns the vehicle such as a company vehicle, rental car or another individual, select No.
Vehicle Type
Select the type of vehicle (sedan, SUV, truck, etc.)
Vehicle Make
Search for and select the vehicle manufacturer
Vehicle Model
Input the vehicle model
Vehicle Color
Input the color of the vehicle
License Plate Number
This field is pre-populated from the information in the session details. Ensure this is accurate before proceeding
State

VIN Number
The Vehicle Identification Number is 11 to 17 digits depending on the age of the vehicle. It can typically be found on a sticker on the inside of the driver door jam as well as on the dashboard of the vehicle on the driver side corner close to the windshield. This field is critical for our Claims Department so please double check the accuracy prior to proceeding
Here, you will indicate where the location of the damage that the guest is claiming and will provide reference photos.
Tap the diagram of the vehicle to indicate the location of the damage
Select the damage type (dent, scratch, etc.)
Add Photo - You will be required to take a minimum of 2 photos of the damage. Make sure you take photos from different angles and distances and include 1 photo with a reference item such as an ink pen. Tap Save and feel free to add another marker if the guest is claiming damage on multiple areas of the vehicle.
Once all 5 sections of the claim are complete, tap the Review button and have the guest look over all fields for accuracy. If you need to correct anything information, tap the back arrow, and select the section of the applicable field to update.
When the guest has confirmed the accuracy of all the information collected, tap the Submit button.
The guest will receive an email to the address that was provided as confirmation that includes their unique reference number and instructions with the next steps. There's a chance it may go to their Junk or Spam folder for the email from noreply@notifications.parkingmgt.com.
